Working with our partners Pragmatiq, they built a Microsoft Power Platform and Dynamics 365 CMS to fit their exact needs. By streamlining and automating processes, Pragmatiq increased productivity and cut BTC’s client referral times in half. Their success might just be the inspiration you need. 

Improving Efficiency and Halving Referral Times at Brighton Therapy Centre

“I came to BTC and I was really quite worried about the systems,” Kerry Evans, CEO of Brighton Therapy Centre (BTC) explains.
“We had adopted some makeshift arrangements with cloud-based services which were not fit for purpose.”

We hear this all the time, particularly with temporary pandemic solutions, which were cobbled together quickly. Systems are stuck in place but aren’t cutting it.

BTC was struggling to manage client information across spreadsheets, losing time in manual processes, and frustrated with fragmented communication channels. They needed to change, but as a not-for-profit, they needed to find the best solution for their budget, that could work in a way to fit their process.

Instead of settling for off-the-shelf solutions that didn’t quite fit, BTC worked with our partners at Pragmatiq to build a bespoke Microsoft Power Platform and Dynamics 365 CMS. 

Pragmatiq built the new BTC system leveraging a variety of tools across the Dynamics 365 and the Microsoft Power Platform stack. They safely and quickly migrated data from legacy systems to a bespoke Dynamics 365 system. Brighton Therapy Centre processes are now fully automated, data is consolidated, management is easier, and they get secure access levels for different users. And even better? Everything joins up with Outlook, SharePoint and the website CMS.

Starting Small, Thinking Big 

Microsoft Power Platform’s flexible suite of Power Apps helps businesses get exactly what they need, when they need it. Jessica Sheridan from Pragmatiq explains: 

“Charities don’t fit into the typical sales, marketing or customer service bracket, so struggle to find something that fits their needs off-the-shelf. They don’t want to pay for a package with loads of functionality they’ll never use. That’s where Power Platform comes in.” 

Thanks to the flexibility of the platform, the solution can also easily grow to fit the charities changing needs in future. To support BTC, Pragmatiq focused on three key areas initially, knowing that new features could be added down the line; Centralising clinical records, streamlining the booking system, and enhancing the client onboarding process. 

Kerry highlights the benefits of a custom-built Power App system, “Finding solutions that really work has been absolutely key to us improving our efficiency. The knock-on effect for clients is they get seen for therapy in half the time it used to take.” 

The new system didn’t just speed up processes; it provided valuable insights for service improvement and growth. BTC can now: 

  • Generate powerful evidence for funding applications 
  • Track therapy outcomes more effectively 
  • Integrate quality of life measurements before, during and after therapy 
  • Make data-driven decisions for improving their service

This data is key. BTC now has real-time and accurate reporting, helping them identify areas that are performing well and where additional support might be required. And critically, it gives them evidence to show funders where their money goes and how it changes lives.  

Brighton Therapy Centre’s example is just one of many to highlight the potential business cost benefits for overcoming ineffective and frustrating systems. But sometimes the cost can put businesses off. BTC saw the importance of the investment and trusting in the potential payoff in the long run. 

The payoff in this case? Long-term cost-effectiveness, helping more clients more quickly and securing more funding.
